  • If a Club is collecting personal information, it has a legal obligation to inform individuals why it is collecting the information and make sure that the information is reasonably protected.

Maintaining Records

Keep accurate records of your club’s activities, finances, and decisions to support transparency and smooth transitions.

Membership Lists

Track Your Members

  • Keep an up-to-date, accurate list of all members, including Signing Authorities

Meeting Reports

Document Reports

  • Record details of General Meetings, including dates, attendance, voting results, and reports presented.

Election Results

Record Outcomes

  • Document election results, including the number of ballots cast, votes received by each candidate, and final outcomes. Include records of any impeachments, detailing why and how a Signing Authority was removed.

Financial Transactions

Log All Spending

  • Maintain comprehensive records of all financial transactions, including money collected, expenses incurred, and property purchased or sold.

Sponsorships, Donations, or Affiliations

External Support

  • Keep detailed records of any partnerships with external organizations, including both monetary and non-monetary donations or sponsorships.

External Banking

Reconcile Bank Records

  • If your Club has been approved to operate an external bank account, provide annual bank statements showing accurate reconciliation of Club financial transactions with account balances.
